Using Multiple Systems for Recruitment and Admissions

Our school does not use a CRM for university admissions. Therefore, our recruiting and admissions staff are forced to use multiple systems to manage and track prospective students.

This is a common complaint among recruitment and admissions departments at colleges and universities that do not have CRM for university admissions, because team members are forced to use multiple software systems to do their jobs. The recruiting team, for example, might collect information in a siloed database system. However, prospective students may submit their applications through a separate software system that powers the applicant portal, which is often not even integrated with the recruitment process. Event management may be handled in yet another system, and communications might be powered from another dedicated marketing solution.

Without a proper CRM for university admissions, and with so many multiple systems to manage, it becomes difficult to efficiently track prospective students through the enrollment process.  Generating the necessary dashboards and reports to measure the effectiveness of recruitment and admissions activities becomes very time consuming, if not impossible.

At Enrollment Rx, we believe that it is a best-practice for universities and colleges to manage all recruitment, admissions, and decisions (RAD) in a single Constituent Management System (CRM).  Any inquiry or applicant should be nurtured through the enrollment process using the CRM for university admissions and, ideally, only admitted student data should be shared with the Student Information System (SIS).

Of course, there may be reasons to deviate from this structure, however, most schools find a dedicated CRM for university admissions approach to be best, as it allows all recruiting and admissions staff to use one single system, affording appropriate transparency, and the ability to report on valuable institutional data.
