During Enrollment Rx’s virtual Building on the Best event, the University of Alaska Anchorage presented on how they use Salesforce to manage admissions documents as part of the application process with Salesforce, Onbase, and Banner in order to achieve a leading CRM for higher education strategy. University of Alaska Anchorage created a system that uses the Salesforce API to automatically transfer uploaded docs (PDF, DOCX, etc.) from the ERX platform to their document imaging system (Onbase). 

Patrick Borjon, CRM Systems Administrator at University of Alaska Anchorage, took the audience through a technical deep dive into the development of this system. He explained that applicants typically upload the following types of documents: 

  • Letters of recommendations
  • Statements of goals
  • High school transcripts

He created a CRM for higher education process that does two things:

  1. Evaluates which documents have been uploaded in the last 24 hours by applicants
  2. Evaluates which documents are ready for transfer to Onbase (document imaging system)

Patrick explained that they evaluate which transcripts meet a criteria for transfer. As a Banner school, each applicant needs to have a valid Banner ID in order to apply. The process works by downloading the files and renaming them in the Onbase administrator format. The CRM for higher education system updates Salesforce with the document statuses. The renamed documents are uploaded to Fairbanks and thereafter imported by Onbase.

CRM for Higher Education – Streamlined Experience

The CRM for higher education student and staff experience is streamlined and seamless. Patrick said that the system has been running seamlessly for over 5 years without a problem and they are seeking to expand it to additional types of admissions documents in their quest to improve their usage of  CRM for higher education.  

CRM for Higher Education – Security

Patrick also explained the university’s usage of a user-license in providing security controls, such as IP access and timeframe restrictions. Security is paramount for all schools – “it is a FERPA thing”.
