What are the must-have requirements for recruitment in a comprehensive CRM system for enrollment management?

In Part 2 of the Reaching New Heights on Salesforce for Admissions webinar series, Enrollment Rx outlines the key features needed to manage student recruitment through enrollment. The session focuses on what institutions should expect from enterprise software when using Salesforce for admissions and recruitment.

The webinar highlights three core areas:

Touch Points
Communications
Territory Management

Touch Points

First, colleges and universities must manage prospective engagement across multiple sources. When using Salesforce for admissions, prospects often start with an inquiry form. Later, they may attend an event or begin an application.

However, this creates a common challenge. Systems may generate multiple prospect records for the same individual. Instead, institutions need a way to recognize that each action belongs to one person.

Enrollment Rx solves this with a feature called Touch Points. This approach creates separate but connected records for each activity. For example, a student may submit an inquiry, register for an event, and start an application. In this case, the system creates three Touch Point records, each tied to a specific action and data source.

As a result, institutions gain better visibility into engagement. For example, teams can identify prospects from California who completed a Facebook form, attended an open house, clicked a marketing email, and applied to a program. By tracking each interaction, institutions can evaluate data sources and improve recruitment strategies.

Communications

Next, institutions must support both transactional and marketing communications.

Transactional communications include automated or manual messages triggered by system activity. For example, an applicant may receive an email confirming their essay submission. Similarly, the system may send an SMS confirmation after event registration. In addition, tasks can be assigned to counselors when new inquiries are submitted.

On the other hand, marketing communications focus on ongoing engagement. These campaigns often use automated drip sequences. They are typically driven by demographic and behavioral data. For instance, a campaign may target applicants based on location or engagement with previous emails.

Territory Management

Finally, recruitment teams need tools to manage territory and outreach efforts. Recruiters frequently visit high schools, colleges, and other organizations to build relationships and generate interest.

Enrollment Rx allows teams to track key information about each organization. This includes past visits, upcoming visits, notes, contacts, and associated prospects. In addition, the system stores standardized organization data such as names and addresses.

This information can also be used in forms and user interfaces. As a result, institutions maintain consistent data across all prospect records.
