How does Ohio University HCOM use Salesforce Experience Cloud for Student Portals & Forms?

Enrollment Rx was pleased to be joined by Ohio University’s Heritage College of Osteopathic Medicine during our 2023 Building on the Best Summer School event. Andria Williams, Director of Technology Solutions, and Eric McFadden, Salesforce Administrator, presented how Ohio University HCOM uses FormBuilder Rx to facilitate the collection and management of student documents while leveraging Salesforce as a CRM for higher education.

Williams shared that their system includes four cohorts with about 250 students per cohort and about 1,000 active student records. They leveraged FormBuilder Rx to collect student documents such as immunizations, training, attestation, and background checks. Requirements for the documents needed from each student sometimes varied by segment, such as enrollment term or year, and the CRM for higher education system can support that flexibility

The new functionality was implemented as part of their CRM for higher education strategy to replace legacy processes that were highly manual or dated. With the new system, they can address the needs of both students and staff.

Self-service capability to upload and manage documents
Ability to view the status of document submissions
Easy to navigate

CRM for higher education – from a staff perspective:

Multiple administrators/reviewers based on document type
Ability to review and approve/deny each document
Ability to view all documents by student
Ability to add notes
Reporting
Easy to navigate

Williams further explained the best practices and lessons learned to design forms and pages in the CRM for higher education system to maximize the efficiency of technical operations and be easy to administer for non-technical staff. She emphasized the importance of reporting on the collected information with dashboards and reports in Salesforce.
