During our 2023 summer school event, Enrollment Rx presented a session called “The Rise of Appointment Manager”, highlighting the General Availability (GA) of our newest feature: Appointment Manager on Salesforce. ERX team members Mark Farrell, Katie-Elisabeth Scanlon, and Connor O’Farrell showcased how the new Appointment Manager functionality leverages Salesforce Experience Cloud and delivers a Single Source of Truth (SSOT) calendar system on Salesforce. 

Farrell explained how the integration from Outlook and Google works alongside the Salesforce calendar to create a single calendar management experience for the user in the CRM system, not just for Salesforce for admissions, but for a host of use-cases in higher education.    

He also explained how the functionality can support various one-one-one appointments, such as:

  • Admission interviews
  • Financial aid meetings
  • Academic advising appointments
  • Student support sessions

Farrell went on to demonstrate the external constituent user interface functionality beyond Salesforce for admissions, including:

  • External calendar pages with sortable criteria
  • External appointment registration pages with nested field-level logic
  • Highly configurable branded calendar screens and appointment registration pages
  • Customizable external appointment registration pages and calendar appointment selection pages for applicants and students

Further along in the presentation, Scanlon described:

  • Creating availabilities
  • Inviting (Salesforce) contacts
  • Marking appointments as complete

Scanlon also provided a brief demonstration and overview of the staff calendar experience. She showed how staff are able to create new calendar appointments beyond Salesforce for admissions with color-coded appointment slots, including integration with Google and Outlook calendars in order to achieve Single Source of Truth calendar management capabilities in Salesforce.

Thereafter, the demonstration proceeded to show how users can send personalized invitations to Salesforce contacts, inviting them to appointments via the CRM system. Finally, the team demonstrated how a staff member can update the status of an appointment once it is complete, rescheduled, canceled, etc.

Set up Digital Experience – Beyond Salesforce for Admissions

O’Farrell joined the demonstration to provide a brief overview of some of the technical specifications that are important for existing Enrollment Rx clients to understand about the new functionality. This included the interoperability with DXP, as well as Salesforce’s Digital Experience. O’Farrell walked through an explanation of Salesforce’s Experiences and All Sites, as well as the Build Your Own Aura Template. Afterwards, we learned how to create an event registration page in FormBuilder Rx, even with “self-rescheduling” capabilities. O’Farrell demonstrated an example of the confirmation email that a student may receive when registering for an appointment, including the ability to cancel the appointment if necessary.
